FAQ - Printing and Mailing Services
|
How does the print and
mail program work?
A customer service representative will walk you through the
steps to generate a sample print file. A copy of your current
statement will also be used. Your statement will be formatted
to fit the #10 double window envelope (you will have the opportunity
to review and approve), and #9 return envelope if you elect
to include this with your mailing. Our customer service representative
will also show you how to send your test file electronically.
Once confirmed and ready to go live, simply sign our standard
agreement, pay one month in advance, and you now have a full
print and mail service program only a click away. We go above
and beyond standard lettershop printing and mailing services
by integrating the latest technology.
How difficult is it to have my print file formatted and account
set-up?
It is actually quite simple. We receive a sample print file from you
with the contents of your file and how the information is formatted. We
then take the file contents and “map” it to fit with the format of your
letter. Once the information has been formatted, we then do a test run
with a sample file and receive your sign-off.
What file formats do you accept?
Nearly anything including database records and printing services output
files.
How many other companies are outsourcing the printing and mailing of
statements?
Literally thousands of organizations are already outsourcing
this print-to-mail function. They include companies of all
types and sizes including retailers, hospitals, medical billing
firms, software companies, municipalities, cooperatives, non-profits,
telecom firms, and distributors to name only a few. They have
found the benefits of outsourcing statement printing and mailing
to be important in both accelerating their cash flow and keeping
the focus of their employees on core functions that add value
for their customers.
Who provides the envelopes and forms?
Triadex supplies and manages the inventory for you. We purchase the
standard items and provide those to you in a simple “pay as you go”
solution. Custom forms are pre-purchased six to twelve months in
advance. There is no charge to you for storage or handling. You can be
worry-free with Triadex's statement and invoice printing service.
How am I billed?
You are billed monthly. The amount charged to your account is subtracted
from your available deposit balance. Any remaining balance is
immediately applied toward your next production run.
How do I know if I have enough in my account to cover the month’s
print volume?
Your bill will show the remaining balance on hand as of a particular
date. Triadex will monitor your available level, and when more funds are
required, you will be contacted. You can also transfer the funds
electronically to your account before the file is printed. If there are
any adjustments that need to be made to your account, you will be
notified via email, phone, or fax.
Can I send inserts with my statements?
Yes! Simply notify us in advance. We are able to provide you with many
samples that have been used successfully to cross-sell new products and
services! It is another reason to outsource statement printing and
invoice printing operations to us.
Can I customize a message to certain customers?
Yes. Since we are receiving your variable data, we are able to deliver
1-to-1 messages from you to your customer.
How do I know when they are mailed?
You are notified by phone, email or fax depending upon your
preference. We are also able to post your production run on
a private FTP site where you have 24/7 access.
What if I have questions in the future?
You have a dedicated project manager available to answer any questions
you may have about the program. Also, feel free to email your questions
to our customer service department at
customerservice@triadexservices.com. We look forward to helping you
save time and money!
